Who does it?

The Groups and Conventions team is in charge of the logistics involved in each event. And together with the Design and Production team we make the creative magic.

How do we prepare the client's proposal?

Everything starts when the client gives us the brief and information about the event. Once we know what the client is looking for, we study the destinations looking for the best hotels, new or traditional restaurants, new attractions, different activities and dynamics. We do this by brainstorming, researching articles online, talking to friends, magazines and our local operators who are the experts in each city.

What do we do on an inspection visit?

Prior to the date of the event, we travel to the selected destination to experience the program we present together with the client in order to review proposals for hotels and restaurants, activities, services, times and movements. All with the purpose of defining the minute by minute of the event based on what we reviewed and achieve the perfect event.

How do we prepare for the event?

We hold work meetings involving the Groups and Conventions team and the Design and Production team to land everything that is reviewed in the inspection visit and the feedback that the client gives us in relation to what he wants. We make a minute by minute with the activities and tasks that have to be ready before the event, this document has complete information and the person responsible for each task, this helps to not forget anything and the event comes out flawless. Here we review issues such as, purchase of airline tickets, menu selection, lodging lists, transportation, activities management, logo selection and branding of the event, creative concept and all the necessary details to make an incredible proposal. The success of an event is everything that is done in the office and before the event.

What is our job at the event?

We must bring everything we present to reality. It is the moment when all the months of work between our team, client and suppliers come together to achieve an exceptional event.

The entire operational team is aware of their tasks and the minute by minute to make sure that everything goes perfectly in coordination with the suppliers. And in case of any eventuality, everyone must know how to react. Treat all event participants equally and make them feel at home, give them the security and confidence of having us so that everyone can enjoy the event equally.

At the end of the event, we have a feedback meeting with the client, where we discuss what they thought of the event.
